Good afternoon families!
I will try and keep it brief but the following is extremely important that you read! As you know the end of the year is drawing near and very soon at that. That being said, there are many enrollment requirements that must be met in order for families to remain compliant and to stay in our program. The following is a list of items that we need to ensure are met and are getting completed by their deadlines.
· ISMA - If you are a new student, the ISMA MUST be signed when sent to your personal email. When this electronic document does not get signed, a curriculum lock will be placed on your student’s schedule. Additionally, a non-compliant letter will be sent to your address on file and it will be certified in which you have 3 days to comply to Cava’s enrollment requirements.
· Attendance (attached) – Please go in to your student’s attendance and ensure that you have NOT given any attendance minutes for any HOLIDAYS or WEEKENDS. I have several families that have given minutes and if not deleted, I will need to go in and complete this as TOMORROW – FRIDAY Cava will be sending out their FINAL report to the state. All days with 0 attendance will be counted as unexcused. The report dates back all the way to February 7th.
· Progress – Each week I go into the Online Schools and document students’ progress. That being said, I see a lot of students who have opted to not complete any school work on various days of the week. Learning Coaches, please note that when your student’s schedule says “There are no lesson assigned today”, this DOES NOT mean they had a day off, this means that nothing was completed online that day. Also, if progress was not done on any given day, ATTENDANCE CAN NOT BE GIVEN. At this point in the year, with testing around the corner, taking days off during the week (one or more days) is really not recommended. I wanted to remind everyone also that each week student’s progress should be increasing 2-3% in every subject every week.
· Letters & Compliancy - According to the enrollment requirements, if these requirements are not met, Cava will send out non-compliancy letters to ensure families are receiving them and noting that actions will take place if these requirements do not get met. Letters that may be sent out could relate to the following: Missing Attendance, Missing Progress, No ISMA, Unable to Contact family.
· PE Logs (attached) - Please ensure that the Learning Coach is going in and logging the minimum amount of minutes per every two weeks for your child’s PE minute requirement. As the end of the quarter draws near, it will be marked as either “met” or “not met” as a whole. If any weeks are missing (unless your student had not yet started), the student will receive a “not met” status. At the end of the semester both quarters (quarter 3 and 4) will be graded as an all or nothing policy. To sum it up, THE MINIMUM AMOUNT OF MINUTES MUST BE ENTERED FOR EVERY 2 WEEKS THE STUDENT HAS BEEN ENROLLED FOR THE REMAINING QUARTERS.
· New Student – Online Learning Schools Tutorials – For all new students, the Online Learning Schools Tutorials that show up on the weekly plan MUST be completed in order for all courses to show up. Although only one of these lessons appear each day (for the first 2 weeks of enrollment), students can jump ahead into the days following to get these done.
· Middle School Grading Scale –(attached) Please ensure that the Learning Coach and student are familiar with the Middle School Grading Scale. Report cards will be sent out at the end of the semester however, it is CRUCIAL you understand how grades are assigned. Your student’s progress in their online schools and Study Island play a HUGE part in their grade.
· Study Island -Please note that this site is NOT OPTIONAL and is REQUIRED. As we do draw near the end of the year and the CSTs it is important that your student logs in to this site DAILY to ensure that blue ribbons are being completed. This site will not only help brush your student up on the key lessons in which will not only appear on the CSTs but also knowledge that your student needs to obtain per their grade level. For late entering students or students who have been behind and their courses were compacted, Study Island is also crucial as it will help review concepts that may have been skipped or not mastered.
· Scantron – If your student has not taken the Scantron assessment, please ensure that gets completed as soon as possible.
· Work Samples –(attached) If you have not mailed your student’s work samples & additional assignments and are not planning on dropping them off in Manteca, please put them in the mail by early next week. Thank you to those who have already mailed me your items or brought them to me last week in Tracy. The end of the quarter is March 29th and work samples must be turned in. Please view the attachment titled “work sample cover sheet” as that will give you specific information as to what is due, how to turn in work samples that are correct, and how to label each paper. If you are still unsure of which “additional assignment” your student is to turn in, please contact me. Those that have just started with Cava, I have been in touch with you to verify which writing sample to turn in, however, if you still have questions, please let me know. If your student has been here since the beginning of the year, they are to turn in the following:
6th Grade Composition (Intermediate Language Skills A):
Composition: Assignment #46, final draft due to your teacher by March 8, 2013
(Unit 5 Lesson 17 – Research Report)
7th Grade Composition (Intermediate Language Skills B):
Composition: Assignment #41, final draft due to your teacher by March 8, 2013
(Unit 8 Lesson 8 – Fictional Narrative)
8th Grade Composition (Literary Analysis and Composition):
Composition: Assignment #6, final draft due to your teacher by March 8, 2013
(Unit 5 Lesson 12 – Research Report)
· CST Assignments If you have not yet viewed your student’s location for the upcoming CST, please do so after today as some changes have been made due to seat availability. Assignments will be finalized by the close of business tomorrow.
· Communication – Please ensure that the Learning Coach is present throughout your student’s day of work. When the teacher calls to communicate an important item, it is crucial that we be able to speak to the adult and not communicate through the child. As per the enrollment requirements again, the learning coach should be available and with the student throughout their school day. That being said, as the Learning Coach, please ensure that you are logging into your own account to ensure school work is being completed daily as well. Asking the student of their progress and considering that the baseline, is not recommended. Please log in and confirm work is being done not just online but offline. PLEASE DO NOT WAIT UNTIL WORK SAMPLES ARE DUE TO START COMPLETING THE OFFLINE ASSIGNMENTS.
